How to Book

We understand you may have many questions or be a seasoned trip planner and know exactly what you want. If you would like to discuss your options with one of our experienced Tour Consultants, please give us a call on 0330 838 4120 between 9.00am-5.00pm Monday-Friday. Alternatively, complete the online Quote Form or send us an Email providing as much information as possible, or just your contact details will be fine!

We will get back to you to discuss your requirements at a time convenient to you. Using our 35 years of knowledge and experience, we will create the perfect package tailored to your needs. This will be available to view through our online quote.

When you are happy with the quote and have secured initial approval for the trip, please contact your Tour Consultant immediately so they can hold your accommodation and travel arrangements.  Your booking will then be converted and held on a ‘provisional’ basis and you will be advised of the deposit due date.

Under Teachers Zone you will find risk assessment advice. We are a School Travel Forum member who are the benchmark for good school tour providers, and we hold a Learning Outside the Classroom Quality Badge which The Outdoor Education Advisors Panel (OEAP) endorses and means the minimum additional paperwork is required.

We understand the importance of being as well prepared for your school trip as possible, which is why we offer the opportunity for you to explore your destination before taking your group away.  We will provide you with two nights’ accommodation for up to two people in your chosen destination.

Now it’s time to promote your trip to your students, parents or carers. There are promotional poster and presentation materials available to help you with this in Teachers Zone.

We recommend building in a contingency fund in to the price advertised to parents. We will then ask for a non-refundable deposit to confirm your booking. 

In the case of flight bookings, you will need to submit a then full name of the travellers as per their passport. This is also now a good time to check the passport is in date, (ABTA currently advise at least 6-months left to travel to the EU), and if not a British passport or travelling outside of the EU enquire about any potential visas that may be required.  See here for further details.


Whilst you are collecting deposits we are available to answer questions that you might have, we are only a phone call away!

Your will be registered to use ‘My Tour Manager’, our online tour organiser designed to save you valuable time.  It will hold all the trip paperwork and useful information, together in one central area and is accessible 24/7 on PC, mobile and tablet. My Tour Manager simplifies data entry to reduce time spent on administration and trip admin tasks are scheduled with automated reminders to help keep you on track.

To confirm your booking you simply need to log on to My Tour Manager

  • Click ‘ready to proceed’
  • Send your deposit payment
  • Submit a names list as per the travellers passport

You will then be introduced to your dedicated Tour Planner who will support and work with you to create the perfect itinerary with the right balance of visits every day.

The final balance payment will be due ten weeks before the date of departure.

Four weeks before departure your final itinerary will be published, and you will be sent the ‘Locate My Trip’ phone which is the easy way to trace your groups location whilst away, specifically designed to provide reassurance to both parents and teachers at home.

You will also be reminded to download the ‘EST Travel App’ which is a secure field trip resource app which works offline and is personalised to your tour. 

All of these innovative technological devices are included in your package as standard.
