How to book
Great school tours start with a great conversation – and from there, we guide you through a simple, friendly process that turns your wish list into a fully supported tour with all the wow you’re after.
1. Start the conversation
Give us a call, drop us an email or hop on a video chat – whatever works for you. We’ll get to know you and your group, discuss what you’re hoping this trip will be, and chat through any early ideas you already have. Whether you’re a first‑time organiser or a seasoned pro, we’ll meet you where you are.
2. Shape your tour
We’ll help you build your itinerary – sharing ideas, exploring options and making sure everything feels right for your group. You’ll get a clear, honest price with no hidden extras, and once you’re happy, we’ll hold your accommodation and travel while you secure approval at school. We can support with SLT and governor conversations too and will be happy to speak directly with them on your behalf.
You’ll find risk assessment guidance in our Teacher Zone, and as an STF member with the LOtC Quality Badge, we keep paperwork light. If you’d like to see your destination before you travel, we offer two nights’ accommodation for up to two people so you can explore and feel fully confident too.
3. Launch your trip
When it’s time to share the tour with students and families, we’ll help you get the word out. You’ll find posters, presentations and other resources in our Teacher Zone, and we’ll guide you through deposits and sign‑ups. It’s a good idea to build in a contingency fund in the price you advertise to parents – but we can talk you through that at the time.
If your trip includes flights, this is a great time to check passports, gather full names exactly as they appear on them, ensure they’re in date and look into any visa requirements. We’ll help you with all of that.
4. Book and feel supported
As deposits come in, we’re always here to answer questions – call, email or jump on a video call whenever you need us.
You’ll get access to My Tour Manager, your online hub for everything tour‑related. It keeps documents, deadlines and details in one place, with helpful reminders to keep things running smoothly. We’ll walk you through confirming your booking and submitting your passenger list step‑by‑step.
You’ll meet your dedicated Tour Designer, a destination expert or even someone you’ve loved working with before, who’ll help you fine‑tune your itinerary – timings, logistics, the balance of learning and fun – everything.
Your final balance is due twelve weeks before departure. Four weeks before you travel, you’ll receive your final itinerary, your Locate My Trip phone – a simple way for school and home to know where your group is at any time – and a reminder to download the Esto Travel App – your offline, personalised tour companion – both included as standard.
And if you need us while you’re away, our 24‑hour emergency support line is always there.
