01. What is the main difference between a Tailor Made Tour and a Student Event?

Tailor Made Tours are educational tours, specifically created to meet your individual group’s needs.  All destinations featured on our website detail possible subject relevant visits as well as the most popular sights and excursions giving you the flexibility to decide on your own programme.  

We also provide a range of student events, which are designed to inform and enthuse your students. Our selection of events cover subjects ranging from Art and Design, Media Studies, Computing, Science, Maths, Psychology and Business Studies. They take place on set dates in a variety of destinations, with travel and accommodation options to suit your needs.  These immersive events are designed to really bring your subject to life out of the classroom.


02. Where can I go on my tour and for how long?

For tailor made tours, groups can choose the destination and date you wish to travel and we can advise you on the most convenient method of transport and accommodation at the most competitive price available. As our tours are tailor made your group can travel whenever you like, there is no need to check availability before booking. Upon receipt of your provisional booking form we will then request your accommodation and transport. However, if you have very specific requests we would be more than happy to check availability at your chosen accommodation and in some cases we can hold accommodation for a short period of time.


03. Is there a minimum or maximum group size?

We are happy to deal with groups as small as 10 and have no maximum group size for our tailor made tours.
If you have a group smaller than 10, you could consider one of our student conferences which have no minimum group size.


04. Student/ staff ratios

We offer one of the most competitive free place ratios on our tailor made tours and student events for our group leaders. We offer 1:8 free staff places on all coach tours and 1:10 free staff places on air and rail tours.

If you need us to quote on a higher ratio of staff to students, please contact us.


05. What else is included in the price of my tailor made tour?

The following is included in the price of your tour:

Free Place Ratio (1:8 on coach tours, 1:10 on rail and air tours)
Free Single Room for the first group leader, twin rooms included for all other staff travelling on free places.

06. Is Travel Insurance included?

Insurance is required by all party members in order to travel. Our comprehensive school’s policy will be automatically added to your booking. If you have an alternative suitable policy, full details must be provided to us within 14 days of booking. If full details are not provided within this 14-day period, it will not be possible to cancel our policy and you will be liable for the charges.


07. Can I do an inspection visit?

We will book two nights bed and breakfast accommodation in a twin room for up to two group leaders for the purpose of an inspection. Wherever possible this will be in the accommodation allocated for your group. The cost of this will be deducted from your tour invoice once you have made a Firm Booking.

Your travel will be at your own expense but we will be happy to provide you with practical advice and tips.

9. What is a Firm Booking?

A firm booking can only be made with both a completed and signed firm booking form as well as deposits. They are only made when you are confident of your numbers because at this point you become financially committed to your tour. For all UK coach and rail tours the deposit is £50 per paying person, and for overseas coach and rail tours the deposit is £75 per paying person. For all air tours, deposits of £150 per paying person will be due.

Once you have made a firm booking, you will receive a comprehensive Group Leader’s Travel Pack. We will then begin work on planning your programme of subject specific visits and excursions.


10. Do my students need a passport and/or visa to travel?

A full British passport presently takes approximately 4 weeks to obtain and is a requirement for all tours outside of the UK. Many countries require a minimum of 6 months validity on passports however, requirements may change and you must check the up to date position in good time before departure. It is the party leader’s responsibility to ensure that members of the party are in possession of all necessary travel and health documents before departure.

If a member(s) of your party is not a British citizen or holds a non British passport, you must check passport and visa requirements with the Embassy or Consulate of the country(ies) to or through which you are intending to travel.

All persons travelling to the USA under the visa waiver programme from 12 January 2009 must have obtained travel authorisation using the Electronic System for Travel Authorisation (ESTA). You must have obtained authorisation at least 72 hours before departure. This requirement is in addition to the submission of passport information, which is still required. Each individual traveller must register online on the following website: https://esta.cbp.dhs.gov/esta

Currently the United Kingdom is part of the Visa Waiver Programme which means holders of UK Passports do not require a visa to enter the United States.

Please note that all passengers travelling to the US, including those on the Visa Waiver Programme, must present a machine readable passport upon arrival at immigration with a minimum of 6 months validity after the date of return to the UK. In addition, passengers holding passports issued on or after 26 October 2005 must have machine readable passports containing a digitalised picture rather than the laminated format.

All visitors arriving through the nations airports (including those from the visa waiver countries) will be required to undergo digital finger-printing and be photographed as part of the US-VISIT- entry-exit system.

11. Can I make significant changes to my booking??

Should you wish to make significant changes to your confirmed tour, you must notify us in writing as soon as possible. Examples of significant changes include changes in dates, numbers, transportation and accommodation. We will always endevour to help, however we cannot guarantee that we will be able to meet any such requests.

For air tours, it is possible to make name changes for scheduled and low cost airlines up until the tickets are issued, however charges may apply.


12. When do I have to pay?

Final payment for your tour will be due ten weeks before departure.   Payment can be made either by cheque, bank transfer or by credit card. Please note we only accept credit card payments up to £1,000.


13. What can I do on my tour?

Once you have decided on your destination, we can provide you with help planning your itinerary. For each of our featured destinations, we produce a comprehensive list of subject specific visits and general excursion ideas, which we can then arrange for your group. A subject specific visit i.e. a car manufacturer, differs from a museum visit in that they are often not open to the general public. Entrance fees are payable locally for both museum visits and also subject specific visits.

We advise groups to request specific visits as early as possible, particularly for business and economics visits, which often need to be booked well in advance in order to avoid disappointment.   Please also be aware that many business visits will only be available Monday-Friday.


Remember that we can also book evening meals, sightseeing tours, theatre shows and sports fixtures for your group. Again it is advisable to book this as soon as possible to avoid disappointment.


14. If I cancel a place what will happen?

Cancellations can be made on a confirmed tour only in writing by the group leader. These cancellations will then be charged at the following rate:

More than 70 days – All deposits paid (including any larger deposits paid in respect of air fares)
70-29 days before your tour: 60%
28-15 days before your tour: 80%
14 days or less before your tour: 100%
Insurance premiums and amendment charges are not refundable. 

Please note that in the case of low cost carriers, cancellations will be at the full cost of the flight.

15. What happens if I have a problem whilst on tour?


We have a 24 hour emergency helpline for whilst you are on tour. Our well trained staff are familiar with the details of your tour and can respond to any problem or query immediately and personally.
