01. What is the main difference between a Tailor Made Tour and a Student Conference?

Tailor Made Tours are educational tours, specifically created to meet each individual group’s needs. Our tours are split into two categories to help you to choose the right type of tour for your group.

Tours labelled ‘Ideal for Age 11’ are mainly situated in small towns and regional centres. They are usually more ideally suited to younger groups who, in our experience, require full board accommodation.

Tours labelled ‘Ideal for Age 14’ are mainly based in cities and are on bed and breakfast basis. They are ideal for groups requiring subject specific visits.

For some of our Worldwide destinations we have featured comprehensive itineraries which make the most of your stay by including the most popular sights and excursions. For other destinations we have included a list of visits which gives you the flexibility to decide on your own programme.

We also provide a wide range of student conferences, which are designed to inform and enthuse your students. Our selection of conferences covers subjects ranging from Art and Design to Business Studies. They take place on set dates in a variety of destinations, with travel and accommodation options to suit your needs.


02. Where can I go on my tour and for how long?

For tailor made tours, groups can choose the destination and date you wish to travel and we can advise you on the most convenient method of transport and accommodation at the most competitive price available. As our tours are tailor made your group can travel whenever you like, there is no need to check availability before booking. Upon receipt of your provisional booking form we will then request your accommodation and transport. However, if you have very specific requests we would be more than happy to check availability at your chosen accommodation and in some cases we can hold accommodation for a short period of time.


03. Is there a minimum or maximum group size?

We are happy to deal with groups as small as 10 and have no maximum group size for our tailor made tours.
If you have a group smaller than 10, you could consider one of our student conferences which have no minimum group size.


04. Student/ staff ratios

We offer one of the most competitive free place ratios on our tailor made tours for our group leaders. We offer 1:8 free staff places on all coach tours and 1:10 free staff places on air and rail tours.

Our student conferences all have a ratio of 1:10 free staff places apart from Business & ICT An American Perspective, New York Design Experience and the United Nations Forum, which have a 1:15 free place ratio.

With the exception of student conferences, if you require higher ratio of staff to students, please contact us.


05. What else is included in the price of my tailor made tour?

The following is included in the price of your tour:

Free Place Ratio (1:8 on coach tours, 1:10 on rail and air tours)
Free Single Room for the first group leader, twin room basis for all other staff travelling on free places.
Free Itinerary planning
Free museum booking service for up to 4 museums, entrance fee are payable locally. Supplementary museums can be booked for a small fee.

06. What is not included?

At European Study Tours, we do not include our Travel Insurance in our package price because many schools and colleges have their own insurance, which covers their students on trips abroad. If this is not the case we can provide insurance for your group, policy details available on request.

We can also provide a wide range of ‘optional extras’ for your group ranging from airport transfers both in your destination and also the UK, restaurant meals and transport tickets for many European cities.


07. Can I do an inspection visit?

We will book two nights bed and breakfast accommodation in a twin room for up to two group leaders for the purpose of an inspection. Wherever possible this will be in the accommodation allocated for your group. The cost of this will be deducted from your tour invoice once you have made a Firm Booking.

Your travel will be at your own expense but we will be happy to provide you with practical advice and tips.

9. What is a Firm Booking?

A firm booking can only be made with both a completed and signed firm booking form as well as deposits. They are only made when you are confident of your numbers because at this point you become financially committed to your tour. For all coach, rail and Eurostar tours this deposit is £50 per paying person. For all air tours, deposits of £100 per paying person will be due.

Once you have made a firm booking, you will receive a comprehensive Group Leader’s Travel Pack. We will then begin work on planning your programme of subject specific visits and excursions.


10. Do my students need a passport and/or visa to travel?

A full British passport presently takes approximately 10 weeks to obtain and is a requirement for all tours outside of the UK. Many countries require a minimum of 6 months validity on passports however, requirements may change and you must check the up to date position in good time before departure. It is the party leader’s responsibility to ensure that members of the party are in possession of all necessary travel and health documents before departure.

If a member(s) of your party is not a British citizen or holds a non British passport, you must check passport and visa requirements with the Embassy or Consulate of the country(ies) to or through which you are intending to travel.

All persons travelling to the USA under the visa waiver programme from 12 January 2009 must have obtained travel authorisation using the Electronic System for Travel Authorisation (ESTA). You must have obtained authorisation at least 72 hours before departure. This requirement is in addition to the submission of passport information, which is still required. Each individual traveller must register online on the following website: https://esta.cbp.dhs.gov/esta

Currently the United Kingdom is part of the Visa Waiver Programme which means holders of UK Passports do not require a visa to enter the United States.

Please note that all passengers travelling to the US, including those on the Visa Waiver Programme, must present a machine readable passport upon arrival at immigration with a minimum of 6 months validity after the date of return to the UK. In addition, passengers holding passports issued on or after 26 October 2005 must have machine readable passports containing a digitalised picture rather than the laminated format.

All visitors arriving through the nations airports (including those from the visa waiver countries) will be required to undergo digital finger-printing and be photographed as part of the US-VISIT- entry-exit system.

11. Can I make significant changes to my booking??

Should you wish to make significant changes to your confirmed tour, you must notify us in writing as soon as possible. Examples of significant changes include changes in dates, numbers, transportation and accommodation. We will always endeavour to help, however we cannot guarantee that we will be able to meet any such requests.

For air tours, it is possible to make name changes for scheduled airlines up till the tickets are issued. In the case of low cost carriers names can not be changed once they have been provided by the group leader, which is often at the time of booking.


12. When do I have to pay?

Final payment for your tour will be due ten weeks before departure. At this point we will also ask you for your final details such as your names list. Payment can be made either by cheque or by bank transfer. We are unable to accept payment for a tour by credit card.


13. What can I do on my tour?

Once you have decided on your destination, we can provide you with help planning your itinerary. For each of our featured destinations, we produce a comprehensive list of subject specific visits and general excursion ideas, which we can then arrange for your group. A subject specific visit i.e. a car manufacturer, differs from a museum visit in that they are often not open to the general public. For this reason we charge a small administration charge for arranging them. In some cases this fee is slightly higher in order to cover transportation and also interpreters. Any entrance fees are all payable locally for both museum visits and also subject specific visits.

We offer an excellent museum booking service whereby we will book a maximum of four museums where required at no charge, entrance fees are payable locally. Additional museums can be booked for a small fee.

We advise groups to book early if they require business and economics visits in order to avoid disappointment.

We can book many additional extras for your tour including evening meals and sightseeing tours. These can be booked fairly close to departure should you decide at a later date that you require any of these services.


14. If I cancel a place what will happen?

Cancellations can be made on a confirmed tour only in writing by the group leader. These cancellations will then be charged at the following rate:

More than 70 days – All deposits paid (including any larger deposits paid in respect of air fares) 
70 - 29 days before departure – 60% of tour costs
28 - 15 days before departure – 80% of tour costs
14 days or less before departure – 100% of tour costs.

Please note that in the case of low cost carriers, cancellations will be at the full cost of the flight.
